Setting up a New User on Talos

In this guide, it will show you how to set up a new user account on Talos.

This guide will cover the various permissions and modules that a user can have access to and also how to assign them to specific hierarchy teams.

Note: you will need to have access to the ‘System Administrator' permission in order to create and edit user accounts.

 Instructions

  1. Firstly, in Talos, navigate to admin screen to create a new user account by clicking here

  2. Ensure to fill in the main sections of the user details which include the following:

    • First Name

    • Last Name

    • Email

     

  3. Then select “Auto Generate Password” this will provide the users password which can then be changed by the user once they have logged in.

Please note: you can make a note of this password to send to the request participant to allow the user to log in or alternatively, send them a ‘Welcome Email’ which emails the new user with a password reset link so they can create their own password to log in to the ATS.

  1. User Properties will need filling in specific to the user you are creating.

    “User is Active” and “Can Change Password” will automatically be ticked, then select any further properties as necessary:

  2. Again Modules will be specific to the user you are creating.

    Simply select the modules you would like your user to have. If they are to have access to all modules then you can tick “Select All”:

  3. Select “Create User” you will then be taken to a screen where you are given the option to “assign the user to teams”:

     

  4. If the user is not going to be part of a team, then there will be no further actions.

    However, if they need to be assigned to any teams then select this tab and you will be taken to the client's hierarchy:

  5. From here you can select one or multiple teams if necessary.

    Simply select the team(s) as necessary. Users will often be given explicit access to one or more teams, if this team has sub teams in it then the user will be given implicit access to those sub teams underneath it.

  6. Then select “Save Teams”:

  7. Your user will now be created.

    If the user is to post roles on Talos, they will need to be added to the posting team once the user account has been created.

    To assign users to the posting settings, please click here to load the ‘Teams admin’ screen:

  8. Here you will see the posting teams that are set up in Talos. Click on the 3 lines on the right-hand side under ‘Actions’ and then click on ‘Assign Users’:

  9. Any user on the left-hand side under ‘Available Users’ who needs to post roles will need to be moved to the right-hand side under ‘Selected Users’:

    Any user that needs to be removed from the posting team can be moved from the ‘Selected Users’ section to the ‘Available Users’ section for that team:

  10. If there are multiple posting teams, the user will need to be added to each one individually to be able to post to that team.
